So you own/manage/run/officiate an entire apartment complex and you’re now staring at a giant box attached to the wall? It’s hideous, it’s painted like a 1982 Commadore 64. You don’t dare open it. Every time you do, a million keys fall out and all you can think to do to stop the torrent is to curse slightly under your breath.

Welcome to Facility and Apartment Key Control!

Yeah- it’s actually a thing. Just like landscaping, pest control, cleaning, etc. You’ve got to have a plan and you’ve got to have a budget to manage the keys for every single door in the condo or apartment complex.

Put on your big boy pants and don’t let the stress of this monolithic endeavor bother you for a second longer.

Not only will you need a spare key for every tenant, you’ll need a set for every door that maintenance will need access to. Thankfully in most cases, you can get away with an HID access control system or a Dallas Chip.

But, you still need to get keys to your locked out tenants and your contractors/vendors who only need temporary access.

How do you do this?

1) You employ an electronic enrollment system. This can be as easy as attaching the key (apartment number) to a tenant name or phone number. They get locked out, they give you a positive ID and they get back in. A simple spreadsheet will do this.

2) Automate the key control process. This can’t be done in a normal key control box. Why not? Because in a normal key control box, you can’t monitor all the important W’s. The who: who is trying to gain access to a key? The what: what key are they trying to take? The where: If it’s a large complex with multiple offices, which office was the key supposed to be released from and returned to? The when: This is a big one and the cornerstone of the above. You’ll know when the key left and ideally, when it returned. Together this creates the perfect key control alibi that can’t be refuted.

3) Repeat steps one and two if necessary.

Of course you’ll need an Electronic Key Control Cabinet for step two. There are a few on the market, but only one that really isolates each key in addition to tracking the users who need access to those key…of course I’m talking about our very own Electronic Key Control Cabinet. A facilities manager can manage and track 16, 32, 48 or 64 keys at a time, right out of the box.

This alone will take out the jumbled mess of tossed keys and paperwork. Easy to read electronic logs will tell you who, what and when anytime. Done- now you are a key control master!

We all know the main goal and questions of key control- “Who has what key and when did they take it?”

However, depending on your industry, depending on the way you manage your business the main questions for key control tends to change or at least be added upon.

Here is a great example, Key Control for Apartments. A recent customer of ours in San Francisco named Thomas owns an apartment complex in the city. He’s also the manager and has other business that requires his attention. A need of his tenant popped up recently that prompted a call to us at SafePak regarding our key control and more specifically our KD60 (Key Dispenser that manages 60 keys).

One of his tenants locked herself out of her apartment late at night. Thomas was out of town, a locksmith was called, the door was opened, but the lock had to be replaced. If you are a numbers person you’ll read all those as line items. If you are an experienced property manager you’ll not only read those as line items, but as line items with surcharges.

You might say, “I would just pass the charges to the tenant.” Then you have an doubly unhappy tenant (your customer).

So now as as apartment manager you have two more questions regarding key control for apartments.

1) How do I get a spare key to my tenant?

Key Dispenser

2) How do keep my tenant happy?

Those were the questions Thomas was asking himself and ultimately answered when he contacted us.

So, how do you get a spare key to your tenant if they’ve been locked out- while keeping them happy?

You deploy the KD60 key control unit to your complex. It’s a very simple key control solution that holds 60 keys at a time. It works with a simple keypad and small LCD screen and draws very little power. Each key is password protected (these are secret passwords only a tenant would have). Next time they lock themselves out, they simply key in their password and in an instant they get a spare key and a moment later they are back in their apartment safe and sound.

I can already hear you ask, “what if they lose or forget their password?” We have a couple of solutions, since we love redundancy. Your tenant can call in and you can either give them the number over the phone or you can log onto the machine and drop the key or them remotely.

This is easy stuff for us.

We’ve got some other great feature on this machine. Like Instant password changes, instant reporting and special codes for service or cleaning people to access the apartments as well.

Let us know if you want to know our a SafePak Key Dispenser or any of our Key Control items could answer your looming questions.

We are really excited to unofficially announce the newest SafePak Electronic Key Control Cabinet. It’s in production as I write this and will have it’s first public appearance at the FeDFleet show in Louisville, KY

Electronic Key Control Cabinet

The SafePak Electronic Key Control Cabinet has been purpose built and programmed with Vehicle Sales Managers, Service Managers and Fleet Managers in mind. It is a computer controlled cabinet containing individual boxes each accessed through spring loaded electronic locks.

Our entry level Electronic Control Key Control Cabinet is a fully scalable off the shelf product that handles 32 keys (or any other small asset) at a time. However, the SafePak Electronic Key Control Cabinet can be ordered to handle any amount of cabinet doors (keys) and, for admin purposes, open all at once or manually.

Administrators will be able to assign a specific key to a specific locker. Users will then be able to access those keys with assigned PIN, ID Cards, Credit Cards (allowing customers to pay for the service at the kiosk), confirmation number, biometric device or a combination of any above.

The SafePak Electronic Key Control Cabinet is a fully automated system that can easily integrate with your CRM software, stock control or Fleet Management Programs. If you are currently operating without any software or programs, we’ve already developed a lightweight reservation system that allows your users to gain access to a key.

All events are recorded real time and saved to a local or cloud based database. In addition, a record of each event or a number of events can be dispatched in an information packet via email to users and fleet managers.

The SafePak Electronic Key Control Cabinet can also be customized to communicate with users via text and/or email to alert them to return times, confirmations or other messages.

Each unit can be customized with a number of peripherals and input values as well. Scan a driver’s license, record mileage, video record users during events- and watch in real time from a computer or smartphone.

Fleet and Sales Managers will especially like the Electronic Key Control Cabinet because users will be able to replace the key after use, making the key- and the vehicle ready for the next user.

We are taking orders and will have our first few ready in mid June.

For Immediate Release:
International Bank Equipment Manufacturer Enters The Key Control Market

Portland, OR: SafePak Corporation, the #1 provider of electronically-monitored deposit retrieval
systems, deposit stations and ATM security products to the banking industry, introduces a new
line of key control products, specifically targeting the auto service industry, fleet management
and dealerships.

The SafePak Electronic Key Control Systems are priced from $1,995 and up, handling from 5
keys to 500 keys. The KeyStations take several forms, from simple wall-mount and counter-top
varieties to free-standing kiosks that are vault-like for maximum key security.

The SafePak Electronic Key Control Systems can be seen at the several national automotive
trade shows including the NADA expo in Las Vegas this coming February. Response from the
recent NACE show in Orlando and SEMA show in Las Vegas prompted the company to add
several more key control products to their current line to satisfy several needs of the industry
that were not met by other companies. In particular, the service industry was looking for a low-
cost (under $2,000) key control kiosk that would handle just a few keys.

SafePak’s president, Buzz Siler, a seasoned inventor and entrepreneur, decided to pursue
this market after years of creating one-off products for other industries. Throughout the last 20
years, he created the first remote access key dispenser for Cendant/Avis/Budget; a rental kiosk
and lock dispenser for the self-storage industry; and specialized key dispensers for the aviation
and hotel industry.

Siler commented, “We looked at all the competition’s products in this key management field and
saw a huge gap! We decided that, with the right investment in the latest technology, we could
offer every feature that they did, but at much lower prices. Best of all, it’s still made in America!“.

All SafePak products can be seen at their website http://safepakcorp.com/key-control/

As it turns out, banks save a lot more then we first expected on Armored Carrier / Transportation Contracts when they use our SafePak Night Drop Retrieval System on their Night or After-Hours Depositories

We know, it’s a funny picture, but it’s the one we had stuck in our head when we started getting responses from our banking customers on the question, How much do you save on armored transport fees when you use our SafePak System.
We had Cash Vault Managers and Transportation Executives literally gushing about how much money they saved.

We were so tickled by this idea that we went ahead a mocked up an old style Ogilvy ad to commemorate it. You can see it here. Enjoy it and pass it along for us.
